Fancy being part of a passionate team and helping our office to run smoothly and efficiently day-to-day? We are a young and extremely fast growing craft gin distillery, producing global award-winning, small batch, artisan gin, and we are looking for an Office Administrative Assistant to join us in our mission to save the world from mediocre gin! 

Reporting to the Office Manager, you must have excellent attention to detail, high proficiency in MS Office and Outlook calendars, and enjoy working in a fast-paced environment. The successful candidate will be fun, organised and be a true team player. They must have some experience as a back office assistant, office assistant, or in another relevant administrative role, and excellent written and verbal communication skills.

You will be responsible for assisting our Office Manager to ensure that our office runs efficiently, with regular communications acoss all internal teams. From general office admininstration tasks, to interaction with visitors and clients on Falls Farm, this is a varied role within an exciting workplace. 



  • Assisting the Office Manager on a day to day basis
  • Screening and directing of general incoming telephone calls 
  • Priority to manage Owners diaries/calendars, including the scheduling and planning of meetings and appointments
  • Making travel arrangements for the owners only (coordinate with the Management Team when required)
  • Assisting with the events calendar and coordinating with the Marketing Team
  • Ordering of stationery and sundries
  • Managing contact and communications into the ERP and CRM systems
  • Sorting and distributing the daily post, as well as scanning post to our Accounts Team in Kettering
  • Creating and updating of records, ensuring accuracy and validity of information
  • Responsible for the ‘info’ email inbox, including sorting and the distribution of emails. Taking responsibility to reply to all charity requests and technical questions received with structured replies
  • Coordinate with other departments to ensure compliance with established policies
  • Assist with management of the info calendar, visible to all staff, so any updates go through quickly (we operate on multi sites and have team in the field continuously, so this is the core center of what is happening and where)
  • Assisting in keeping a clean and decluttered office 
  • Ensuring all Falls Farm visitors have been entered into the Visitor's Book and that badges are given where applicable
  • Interaction with clients and visitors to Falls Farm in a professional manner. Assisting with coffee/tea and refreshment needs
  • Maintain trusting relationships with suppliers, customers and colleagues



  • Scanning then filing into the main system all important legal documents, licenses, certificates and history documents held in manual filing system
  • Stationery and sundries comparisons with suppliers to ensure we are sourcing the best possible price and quality.



  • Proven experience as a back office assistant, office assistant, or in another relevant administrative role
  • High level proficiency in MS Office and outlook calendars
  • Knowledge of “back-office” computer systems (ERP software)
  • Working knowledge of office equipment
  • Thorough understanding of office management procedures
  • Excellent organisational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritise daily workload
  • Discretion and confidentiality

This is a full-time role, based at the Distillery offices on Falls Farm, in Harrington, Northamptonshire.
